
The purpose of Housing Administration is arrange for rooms at various hotels/motels for the people coming to events in your
facility. You build a database of the hotel/motels in your surrounding area. You indicate what ammedities they have, the types
of rooms they have and how many of each. You then indicate which events you have that have a housing need. The system can
even send out proposals to the selected hotels and motels to accept the event. The system will then track for each hotel how
many rooms have been requested, committed and booked.
The Event Attendees can then go to your website and book their hotel rooms right on-line. Show Management can go
on-line at any time and see the bookings for their event in each of the hotels. Show Management can even upload pictures,
documents or registered attendees to you from the website. There is a Hotel Administration page for each of the hotels
in your database. They can respond to proposals, see how many people have booked for each room type in their hotel by
event. They can even retrieve the secured reservation information directly from the web site. They can also check their hotel's
profile and update the pictures you have for them.
The system can then produce all kinds of reports for you, the hotels or show management. Below you will find a description
for each of the major options in Housing Administration.

Housing Book
The Housing Book will give you a graphic representation of each of the hotels. You can then look at the requested, committed or actual bookings for each of the hotels.
Housing Reports
These are the canned reports provided by the system. This includes such things as a Room Block Report, Room Utilization Report, Sales Person Progress Report and Accounting subsidy and Rebate report.
Mail Room
The Mail Room allows you to redefine all the common correspondence you need to produce for your Housing needs. At any time you need a letter or any other type of correspondence you just select it from the list. Indicate who you want it sent to and the system will create a custom letter or e-mail for each person indicated.
Event Setup
The Event Setup option is used to indicate which events have housing needs. Here you indicate when the hotels get notified, what dates the event has housing needs and when the event will be on sale. You also use this option to indicate what hotels the event will be using and how many of each room type has been requested, committed and actually booked.
Event Inquiry
Event Inquiry will allow you to access any event booked in ConCentRICs. You can see an overview of the event, you can get a full profile of the event, see the audit for the event or if you are authorized you can even do maintenance on the event.
Hotel Inquiry
Hotel Inquiry will allow you to access the information on any Hotel or Motel you have in the database. You can see an overview for the hotel, get a full profile, see the audit or if you are authorized you can even do maintenance on the hotel information.
Hotel Reports
The Housing Reports contains all the Hotel/Motel reports that you have defined in the system. Any field in the Hotel/Motel database can be used to select, sort or put on a report.
Hotel Wizard
The Hotel Wizard provides you with a tool to design and create your own reports from the hotel database.
Housing Control
Housing Control is used to defined the terms and conditions that will be used by Housing Administration. This allows you to customize the application to your needs.
Guest Rooms
The Guest Rooms option allows you to create any kind of report you need based on the rooms that were actually booked by the attenedees that are coming to events in your facility. There are all kinds of selection, sorting and reporting tools available to create many different reports. If we are collecting the data then you can report on it. The system will save a report once it is defined so you can use it over and over again.
Internet Control
Internet control is used to define what the housing pages on your website will do. This will allow you to control all aspects of the housing pages that will appear on your website.
Send Forms
The Send Form option will be used at least once a day to update the order pages on the website. It will produce a Reservation Page for each Event, it will put out the Show Management pages and the Hotel Administration pages. This could be setup in a batch process so it will be done automatically each day.
Receive Forms
You will use the Receive Forms option to retrieve new information from the website. This will include new reservations from attendees, data sent by Show Management and anything that was updated or accepted by the hotels/motels. You could do this once every few days or several times a day depending on how much traffic you are getting on your website. There is even an option to check the website and show you any pending activity.
Table Parameters
Table Parameters is used to change any of the available choices or terminology used in Housing Administration.
