IACU Notifications - June 2002


GENERAL INFORMATION

We have had a personal change at RIC Corp. Dale Anderson left earlier this month and has been replaced with Jonathan Fazzaro. John was hired to help out with the programming, but he will be doing more then just programming. He will also be working on support and may even come out and visit some of you for training.

Rick has been back logged on reported problems in the last few months. All the back logged items have now been resolved or are being addressed. He started working on the approved wish list items. If you have reported a problem that has not been resolved or is not currently being addressed, please let Rick know.

The dates for the Fall training session have been set. The session will be held on Saturday September 21, 2002 and will end the next day, Sunday September 22, 2002. We are asking for topics for the Fall IACU meeting. We would like to get all topics collected by July 1st. If we don't receive any topics we will assume no one is interested in having a Fall training session this year.

At the IACU meeting there was a discussion as to the minimum files that were required in the EXE32 directory that was needed for Pervasive 2000i. Terry Ausbun went through them and narrowed the list down to eleven. Here are the 11 required files:

LAST MONTH'S ACTIVITIES

Accounts Payable - Accounting

1) When generating a PO File for printing in external applications, there will be the exact number of detail lines indicated in the Form Wizard created. The extra detail lines will contain blank values. This will allow each of the detail lines to be filled in. Do not put a Next Record on the last detail line and you can use master information at the bottom of the form. 6/ 6/2002

Accounts Receivable - Accounting

1) Can now delete an overpayment on the invoice 6/12/2002

2) Wish List Item 223 - Negative Invoices has been completed 6/18/2002

3) Wish List Item 226 - Do not allow invoice number field to be changed has been completed 6/18/2002

4) fixed the column days old on the Invoice Credit Report 6/18/2002

Budget Information - Accounting

1) The Budget Manipulation option has been expanded to allow you to add a fixed amount to selected accounts. This will allow you to load the same budget figure in several accounts at one time. You can also use this to zero out a budget by setting the fixed amount to zero. If your security level is manager or higher you will be able to zero out the actual or encumbrance totals. 5/23/2002

Check Processing - Accounting

1) In the Form Wizard you were not able to set the number of detail lines for the Requestion file and Check file selections. 6/ 6/2002

Accounting Reports

1) The report variable labels of and where not showing the correct year and did not show the correct month when the report month was January. 6/ 7/2002

Booking Analysis

1) In the Percent of Occupancy reports, dark days (no event day) dateblocks were always counted as Out Days. Now if they start before the last event date then they will be considered In Days. 6/15/2002

Checklists / Followups

1) Contact Sensitive Help on the main menu was not working. 6/ 1/2002

Event Manager

1) Process completed drawings will now recogonize equipment as BLOCKs as well as GROUPs. 5/31/2002

2) In the Event Document the long date display in the Department Instructions and Special Notes sections were hard set to the short day field and did not follow the Regional Settings entry. The document will now keep the Regional Settings for long dates through out the document. 6/12/2002

Event Reporting

1) The rental amount fields did not appear correctly if you had a square foot/meter field in front of them. 5/21/2002

2) In the Adjusted Rates report when you had Date of Event option selected, it would not let you put in a future date, but that edit should have only been on Date of Adjustment setting. 6/ 7/2002

3) The Adjusted Rates report was not showing the correct Regular Rate when the dates of the item had been changed from the defaults. 6/15/2002

Event Settlement

1) Accounting transactions generated from Food Administration did not post correctly if the invoice was printed in Accounts Receivable. 6/ 4/2002

Exhibitor Interface

1) When dealing with fractional amounts in the rental, the confirming e-mail could say that the exhibitor could owe zero dollars. This has been identified and will not show they owe anything in this case. 5/31/2002

Exhibitor Work Orders

1) fixed the option Print All Work Orders so it finds the correct information 5/23/2002

2) fixed the send orders by email to send the last record 6/17/2002

3) Wish List Item 212 - PO# on Booth Inquiry has been completed 6/18/2002

Food Administration

1) Food Generic Reports did not show Menu Item Quantity correctly on the first line and the Quantity, Price and Total were not formated correctly after the first line. 6/ 6/2002

Inventory Control

1) The Mail To Address did not show the second line correctly in Vendor Reports when the remit to address did not have a second line. It would repeat the first address line. 6/11/2002

2) The Part Card and Recalculate totals did not handle fractional quantities correctly. 6/17/2002

Operations Administration

1) The Automatic Work Order search by number was not finding the work orders. 6/10/2002

RIC Corp Library

1) Categories in Name and Address maintenance will no longer show restricted categories in the choose column. 5/30/2002

IACU Reports, Forms and Tables

1) The addition of a new Equipment Rental Type 100, 100, 50, 25, free... 6/16/2002

Scheduling Library

1) The Rate Description has been added to the Location Contract file for the mail merge. 5/22/2002

2) Canceled Events can now have check list items generated at the time the event is canceled. 5/30/2002

3) A new way to charge for equipment/services has been added. It is called 100, 100, 50, 25, free... With this formula the first and second day the item is used would be charged 100% of the rental amount. If they use it a third day it is half price. If they go a 4th day then it is only 25% of the price and if they use it more than 4 days it is free. 6/16/2002

Sales and Marketing

1) If the Sales or Event Profiles show fields with ? descriptions, then this indicate the field was assigned at one time, but is no longer in use. If you double click on the ? mark entry, it will take you to the statistics section of maintenance. If you just push the OK button here, then it will remove the fields no longer in use. 6/ 7/2002

2) The Trace Reports allowed you to pick an optional event field to display. If you did not select an event field, then ? marks would show on the event line. 6/ 7/2002

3) Trace items on the Sale or Event Profiles would put all the comments together for check lists on the same date. 6/ 7/2002

4) On the Event Profile, the staff positions would also show in the Client section by mistake. 6/11/2002

5) Date fields disappeared 6/14/2002

6) Event Profile has been renamed to Meeting Profile as per Wish List #192. 6/17/2002

Scheduling Utilities

1) The Client Link verification has been expanded to look invalid name references and to remove them if found. 6/19/2002

System Administration

1) The Application Export feature has been expanded to include the new Calendar Format reports in Event Report and The List, Form and Label reports in Exhibitor Work Orders. 6/14/2002

2) A question has been added to the User Security screen that will ask if you want to show the money on the Event Profile. This question is for people who do not have Scheduling Administration or Event Administration when they can access the profile from other places. 6/16/2002

Accounting Utilities

1) A new option has been added to change the internal account key for posted transactions. You would use this if you have the same account with two different internal keys in two different years. 6/ 1/2002

2) The Checking Pending Posting option will look for invalid dates and times in the pending transactions. If bad dates or times are found, then they will be reset to the current date and time. 6/ 1/2002


CURRENT WISH LIST ITEMS

192) New name for S&M Event Profile
We would like for the Event Profile that is produced out of Sales & Marketing to be renamed to Meeting Profile. There is an Event Profile that is produced in Scheduling also and even though they are different Profiles it has created a lot of confusion amoung the Sales Staff and the Operations Staff. Renaming the Sales Event Profile to "Meeting Profile" would eliminate some of this confusion. (Gatlinburg)

To eliminate the confusion regarding Sales Profiles, I suggest we rename the Profile in Sales & Marketing to "Marketing Profile".

212) PO# on Booth Inquiry
Have the PO # show up on the Booth inquiry sheet we print
out of Exhibitor Work Order and Booth Inquiry areas. When
a customer submits a Purchase Order with an Electrical
Service Order, the customer wants the PO# to be referenced
on all Invoices. A field already exists where the PO # can
be keyed into the system, but when the customer requests a
copy of their order with charges, the PO# is omitted from
the form.

223) Negative Invoices
Allow the Accounts Receivable option to track a negative invoice. Now the system will zero out the invoice and mark it as closed. (Atlanta)

226) Do not allow Invoice Number field to be changed
In the AR module, on the Invoice Master Maintenance Screen, under Cash Received have the invoice number field a display only field. Do not allow changes to this field. (Atlanta)

233) Room Use Codes on the Event Profile
Show the Room Use Code under the location name on the Event Profile. It currently appears as the last line of the location information, this will just move it up to be the second line of the location information. This would have no effect on facilities that do not use Room Use Codes. (Edmonton)

235) Attached Objects for on-line Exhibitor Orders
Add the ability to attach a file to an on-line exhibitor order so exhibitors can add their own booth layout instructions. This would also need to have an attached object feature in the Exhibitor Work Order module. (Atlanta)

236) Group equipment/services for multiple assignments
What the ability to batch order equipment/services to multiple locations. Example: Overhead, lectern, microphone, audio mixer. Place in 8 locations. Deduct the total gear from inventory. This could be done by creating groups of equipment/services similiar to a location group. Then you can select the appropriate group definition and assign all of that equipment or services at one time. (Portland)

238) Days old stop counting when paid in full
Accounts Receivable Module, Invoice Reports, Invoice Credit Report. Request that the Days Old information stop counting when the invoice is paid in full, instead of continuing to count. (Atlanta)

This sounds like a maintenance issue. I am running the ACAR.exe dated May 21, 2002 and the report does not display any negative invoices or invoices which have been paid.

239) Multiple Reserve accounts for Exhibitor Orders
Ability to have the money received for different services on an order to be automatically credited to multiple general ledger accounts when daily deposits are posted. No change to Debit cash account, only the credit side of the accounting entry will be affected. (Atlanta)

240) Alternate Location on Equipment/Services List
On the Maintenance Screen there is an area to select an alternate room from the overall room location for the combo rooms. This information flows to the Location Forms & Event Settlement but doesn't appear on the Event List - Equipment/Services List. We would like to have that option added to the Equipment/Services Schedule Dialogue Box?

242) Account Columns on Account Schedules
In the Schedule Wizard when defining a Summary report would like to have the ability to select specific accounts as columns. All activity for that event in that account would be totaled up and show as the value for that column. Would also like to see additional event fields of Type of Event and attendance. (South Bend)

243) Sales Contacts flowing to Event Profile
Currently the contacts on a Sales Profile will appear on each of the Event Profiles under it. We would like to make this optional with a switch setting in Sales Control to make the names flow to the event or not for the entire facility. (Gatlinburg)

244) Save an Account number for a Vendor
Would like a way for the system to assign an account number to a vendor. When that vendor is selected for a Payment Request the system will automatically fill in the preset account number for that vendor. For example if I write a check to Office Depot the account number would always default to the Office Supplies account. (Hattisburg)

246) Exhibtor Detail Report - Pick and Choose EBS Categores
On the Detail by Exhibitor Report - Recap by EBS Category - have the ability to choose which EBS categories one wants to see on the report. This would be optional. You could either pick all or pick and choose the ones you want. (Atlanta)

247) One time Equipment and Services
Add a CUSTOM button to the Equipment/Services screen (similar to Food Administration/menu items). This will allow ad hoc entries and costs to be added to an event.

248) Expand the internal booking defaults function
If you select Internal Event Only when booking an event a a number of pre-set statistics are filled in. I would like to expand this to add a trigger to event administration (e.g. booking status code or nature of event) to create a default internal booking event schedule. This would be appropriate for all internal events which do not require any services.

The full process would be:
Check the 'internal event only' box when booking an event. Add the dateblock for the internal event. Add the staff/clients as necessary.

Open Event Manager. Once opened the event schedule for the created dateblock will contain custom text (e.g. INTERNAL EVENT. NO SERVICES REQUIRED). The final part of the process will be to publish the event.

249) Event Id instead of Invoice Numbers of Zero
When an exhibitor event is settled, the main set of transactions sent to A/R display 0(zero) as the Invoice # on the Sales Journal. All trasnactions pertaining to invoices created display the invoice #s in the journal field (Invoice column). We would like the Event ID to be displayed for the main set of transcations instead of 0(zero). (Houston)

250) Incident Report data as a file
Please add to Security Administration the ability to generate an Incident Report as a Word merge file. (Edmonton)

251) Value of Loss field in Incident Reports
Please add to the Security Administration Incedent Report a field called "Value of Loss". (Edmonton)
