Special Notes

Getting There: Accessing this application is done by first double clicking on the Event Administration icon in the ConCentRICs main menu, followed by double clicking on the Event Manager icon, and then double clicking on the Special Notes icon.

Purpose: Accessing this module will allow you to enter information for the staff that they need but just does not fit anywhere else. You can enter day-by-day, room-by-room, hour-by-hour, exactly what is required for each department in the facility.
Security Level: To view - Read Only. To perform maintenance - Normal.


The Special Notes report will show the Special Notes currently defined for the event.

It will list the Begin Date, End Date, Begin Time, End Time, Location, Category, and part of the Text. If you have a security level of Normal or higher you can perform maintenance on any of the lines in the dialog box. Double click on the line you want to view/modify.

The Special Notes Maintenance dialog box will appear.

The following is a breakdown of the Special Notes Maintenance dialog box:

NOTE:
When you are in the 'maintenance' mode, the    button is the same as the    button.
The    button is the same as the    button.

When you are in the 'add' mode, click on the    button when you complete an entry.
When you are done with all entries, click on the    button.

  • The Location combo box contains all of the booked locations for the event. If you were making a new entry, you would need to select the location that the schedule will apply to. There is a special location of "No Location" for those infrequent items that apply to no location in particular.
  • If the selected room is a combined location, then the Alt Room control will be active. It will list all the parts of the combination room. This will allow you to indicate that the schedule item applies to just part of the booked location.
  • The Document Category combo box will show all of the categories defined for Event Documents.


    Clicking on the button will bring up the Equipment/Services Dialog Box. Here you can review all of the equipment and services assigned to the location where you can add, change or delete items to reflect the client's needs.

  • The Start Date is the first date of the activity. You must enter a date and it must be within the dates of the activity.
  • The End Date is the last date of the activity. If you do not enter a date, it will fill in the Start Date, which indicates it is a one day activity. The End Date must be equal to or later than the Start Date.
  • The Start Time is the time the activity will begin. If you leave this field blank, the report will show "All Day".
  • The End Time is the time the activity will stop.
  • The text box is free form entry. Enter text any way you desire. When the box first appears, any existing text is highlighted. Make sure you don't accidently delete all existing text. Just use an arrow key to cancel the highlight.

    The buttons will allow you to transfer data to and from other ConCentRICs or most other Windows applications.

    The button can be used to speed up data entry in the text box. When you click on this button, you will see a list of all the text pre-defined for the Event Schedule as set up and used by your facility.

    If a line of pre-defined text is too long, it will show as much of it as possible. You can click on the line of text you want and click on the OK button, or double click on the line of text to move it to the text box. This is a multiple selection list box allowing you to select any number of lines at one time before clicking on the OK button.
