
Getting There: Accessing this application is done by double clicking on the Scheduling Administration icon in the ConCentRICs main menu.

Purpose: Scheduling Administration has one primary purpose. To book events and maintain information on
those events. This is the most important application in the system. All other applications
in ConCentRICs are based on the information entered here for an event.
The modules in Scheduling Administration will allow you to book new events, perform maintenance on existings events, find what events are holding which spaces, and to find the best space to place new events.
EVENTS are any activities that hold space in a facility. All aspects of an event, everything from general statistics to specific dates and rooms required, need to be defined to the system.
With the exceptions of Client Inquiry, Client Use Days, Overflow Events and Change Register, which are covered in this tutorial, you can click on any menu icon to view a separate demonstration on that appplication.

On the Scheduling Administration Main Menu screen sample above, all applications are laid
out in a logical arrangement.
The first row of icons,
allows you to
look at booked space in different ways; book events; or maintain existing events.
The second row, focuses
on
the maintenance of events.
The bottom row, are options
that
affect all of scheduling and not any one event in particular.
The Scheduling Administration application is very versatile especially when it comes to booking an event. Even though you can book an event from a number of modules, the most commonly used ones are The Book, The Calendar, Calendar Inquiry, and Calendar Search.
You can also book an event right from the Scheduling Administration's main menu by clicking on
the blue  
  button.
This allows you to add an event without having to run other options.

The Book is used to view/enter event bookings in a graphical spreadsheet format. For more information on this application, click on Product Demo Scheduling-The Book.
The following applications in Scheduling Administration do not have separate demos and are explained briefly below.
Client Inquiry is used to quickly find any person,
or company that is in the Name and Address database, and is associated with the scheduling portion of
the system. If you wanted to call someone or wirte a letter, you would use this option to find that individual
or company.
Security Level: To view - Read Only. To change and maintain name info - Normal.
Double clicking on the Client Inquiry icon will bring up the Name and Address Selection dialog box.

There are two search modes available. The Begins With search is the fastest, but you must enter the name exactly as it appears in the file.
As you type each character, the names on the list are constantly reduced to only those that match what is typed in the Last Name: field.

When you see the name you are looking for, select it and click on the OK button or simply double click on it and the system will produce a report for that name.
The report will show the person or company you selected along with the individual's name, company name, address and contact phone number(s)
If your security level is set high enough, you can double click anywhere on the report to bring up the Name and Address Maintenance dialog box.

Here you will be able to update any name information.
Client Use Days is used to check the
budget, the active and remaining use days in a client's account. Any client that can be charged by use
days, has their own rate schedule established for that purpose.Double clicking on the Client Use Days icon will bring up the Client Use Days dialog box.

In the Use Day Rate list box, all clients who are set up for Use Days along with the rate code associated with that event. Select the rate code/client that you want to review.
In the Date Range list box, all the date ranges for rates will appear. Select the date range you want to review.
The Start Date and End Date fields are optional. You can use these fields to enter a subset of dates within the selected Date Range.
Click on the
button and Client Use Days report will appear on the screen.

Overflow Events is used to review events in
the overflow area. Each calendar year that is required for booking an event must be established on the
system. However, the system does not restrict you to just the years established. If a user books an event
for a year that is not established, the system collects the information for that event and places it into the
overflow area. With this function you can view the events that are stored there.Double clicking on the Overflow Events icon will bring up the Overflow Events report.

Each year that is found in the Overflow area will be displayed in the Year column.
The Events column shows how many events were found in that year.
When the real calendar year is established then the Process column will indicate Yes.
When you double click on a year line, then events will be moved from the overflow area to the real calendar year.
Change Register is used to review event
activity or to investigate changes made to events. The system will ask you what you are looking for and
then produce a report on the event activity that meets the criteria.Double clicking on the Change Register icon will bring up the Change Register dialog box.

The event activity can be extensive. There is no way you can look at all of it at one time. You need to narrow down what event activity you want to see. The system will remember each of the criteria you enter here and will show you the values you used last, the next time you bring up this dialog box.
If you would like to select activity for a particular person, then click on the Who button amd select any name you want for the search.
Click on the
button and the report selected will appear on the screen.


The report will indicate the Event Id, event name, date, time, activity and who made the changes.
