
Getting There: Accessing this application is done by double clicking on the Accounting icon in the ConCentRICs main menu.

Purpose: Accounting is used to track and control all money transactions in a facility. ConCentRICs Accounting is not meant to be a stand alone accounting system even though it could be used as one. It is designed to be used with the ConCentRICs facility management system. Most transactions will flow automatically to Accounting from various applications throughout ConCentRICs.
Place your cursor over any of the icons below to see a brief introduction of that application. Click on the icon to get a demonstration of that particular application.

IMPORTANT NOTE: Accounting is not purchased as a separate stand alone ConCentRICs application. Following the basic pick-and-choose application modular design premise built into the overall ConCentRICs system, users procure only those indvidual Accounting applications needed.
There is one caveat here: A facility MUST purchase the General Ledger application in addition to any other Accounting applications it may require.

There are functions common to all applications that interface to Accounting. There are functions to control access to the various Accounting Funds and Accounting Years. There are functions where users can search for an account or event number. Other functions are processing in nature such as Journal Posting. Most Accounting functions have their own journal to accumulate transactions before they are posted. This allows each Accounting application to be controlled and balanced separately.
ConCentRICs Accounting is set up to work with an unlimited number of Accounting Funds. Each fund is kept in a separate set of data files. Each fund is maintained separately and has its own set of accounting years, Chart of Accounts, control and accounting transactions.
Accounting Years are used to store the data for a single fiscal year, which may span over two calendar years. The Accounting Year will the the year ending year. A user can change any fund or year they have access to. This is accomplished by clicking on the Options Menu in any ConCentRICS Accounting application and clicking on either Change Fund or Change Year.
When the Change Fund option is selected the following dialog box will appear.

You can change to a different fund by selecting it and clicking on the OK button or you can just double click on the different fund.
When the Change Year option is selected the following dialog box will appear.

You can change to a different year by selecting it and clicking on the OK button or you can just double click on the different year.
Whenever an account number is entered, it activates the Account Search mode instead of providing you with just an accounts list which could number in the thousands.
When you enter an Account Selection the following dialog box will appear.

You can scroll through the list, select it and click on the OK button or you can just double click on the account. Since this could be a long list you can utilize the optional search boxes at the top of the dialog box to narrow your search.
Whenever a specific event is required an Event Selection is started and the following dialog box will appear.

If you know the Event Id, enter it and click on the OK button. If you don't know the Id, fill in the First Event and Last Event Date fields and a list of all events that occur between those dates will be shown in the list box.
All transactions in ConCentRICs Accounting go to journals first. There are a number of different journals that allow the transactions to be separated by subject to allow for easier control and balancing. The purpose of Journal Posting is to provide the Accounting Department the ability to review transactions BEFORE they are posted to the General Ledger. That way if there are any adjustments to the transactions, they can be made before it is posted.
When you start Journal Posting the following dialog box will appear.

The current Accounting Fund and Accounting Year will be displayed at the top of the dialog box. If the right fund and year is not displayed, use the Change Fund and/or Change Year options to make changes. The Journal Status will show the current status of the Journal. You can click on the Draft button to get a draft report of the Journal. When you are ready to post the Journal, click on the Post button.
NOTE: The Post button will not be active unless the Journal is ready to be posted and you are authorized to post it.
When a Journal is posted, the transactions are posted to the General Ledger and are removed from the Journal.
