Getting There: Accessing this application is done by double clicking on the Calendars icon in the ConCentRICs main menu.
Purpose: Calendars is one of the major reporting applications for scheduling information. ConCentRICs actually contains two major scheduling report applications: Calendars and Booking Analysis. If a report shows specific events within a date range, then it is a detail report and will appear in Calendars. If a report counts the events within a date range and displays a total number or percentage of events within a date range, then it is a statistical report and is covered in Booking Analysis. Security Level: To view any function - Read Only. To make changes to entries - Normal. To add entries- System. To delete entries - Manager.
When you double click on the Calendars icon in the ConCentRICs main menu, the following dialog box will appear.
It is important to note that the selection criteria you select here will determine which events are used to produce each of the calendars reports.
Clicking on the OK button will bring up the Calendars main menu.
HINT: You can position your mouse pointer over any of the icons below to see a text-only introduction on that application.
List of Events is used to get a simple list of events. A suggested use is to review a list of events which will appear on each of the calendar reports.
Click on the List of Events icon. This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the List of Events report.
This report will list the selected events in move-in date, event name order. Information that appears on this report includes: event id, booking status code, first move-in date, last move-out or first event day date and full event name.
Double click on any event to bring up the Event Inquiry dialog box, also referred to as the SPAM screen, where you'll be able to look at the Event Snap Shot, Event Profile, Event Audit or, if authorized, perform Event Maintenance. Click on the Events Bulletin icon. This brings up the Optional Calendar Booking Fields Maintenance dialog box.
You can choose up to four booking fields to appear on the report. If you don't want any of the codes on the report, there is a "Not Applicable" option in each list of codes. Click on the OK button.
This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the Events Bulletin report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: move in to move out date range, event name, name of event dates and times, total attendance, and up to four booking codes.
Click on the Schedule of Events icon. This brings up the Optional Calendar Booking Fields Maintenance dialog box.
You can choose up to two booking fields to appear on the report. If you don't want any of the codes on the report, there is a "Not Applicable" option in each list of codes. Click on the OK button.
Click on the OK button and this will bring up the Schedule of Events report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: long event name, client information based on the settings you have in the Name and Address Window Format, range of actual event dates, range of move in dates, range of move out dates and up to two optional booking fields.
Click on the Event Attendance List icon. This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the Event Attendance List report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: first move in date, last move out date, attendance per session, number of sessions, total attendance, event id and long event name.
Click on the Schedule of Events with Booking Status icon. This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the Schedule of Events w/Booking Status report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: appropriate dates, long event name, client information based on the settings you have in the Name and Address Window Format, and booking status code descriptions.
Click on the Scheduled Activity icon. This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the Scheduled Activity report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: overall date range of the event, number of rooms booked, the event, client and company names, event coordinator, and sales person assigned to the event.
Click on the Event Status Report icon. This brings up the Optional Calendar Booking Fields Maintenance dialog box.
Click on the OK button and this will bring up the Event Status Report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: event name, main contact name, address and phone number information, assigned sales person, event coordinator, an optional booking field and all booked rooms for the events.
Click on the Calendar of Events icon. This brings up the Custom Report Title dialog box.
Click on the OK button and this will bring up the Calendar of Events Report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: long event name, a public indicator, all booked rooms, the range of actual show dates in the master date block, and the earliest to latest start and end show times by event day for each event.
Click on the Generic List icon. This brings up the Optional Calendar Booking Fields Maintenance dialog box.
Click on the OK button and this will bring up the Generic List Report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: event id, twenty characters of the long event name and up to four additional fields.
Click on the Event Services Schedule icon. This brings up the Event Services Schedule Specifications Maintenance dialog box.
You can choose one booking code and up to three types of staff to appear on the report. If you don't want any of the codes on the report, there is a "Not Applicable" option in each list of codes. Click on the OK button.
Click on the OK button and this will bring up the Event Services Schedule Report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: overall date range of the event with the corresponding day of the week for the first and last day, long event name, event id, booking status code, booked locations, sales person, and event coordinator.
Click on the Location Type Schedule icon. This brings up the Location Type Selection Maintenance dialog box.
You must choose one location type to produce this report. Click on the OK button.
Click on the OK button and this will bring up the Location Type Schedule Report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: the date, day of the week of that date, long event name, list of locations booked for that event with the selected location type and the main contact company name.
Click on the Calendar Format icon. This brings up the Calendar Format Display Selection dialog box.
This dialog box can be used to eliminate some of the events selected in the process prior to entering the Calendars Main Menu. It can also be used to limit the information displayed for selected events.
The following is a breakdown of the Calendar Format Display Selection dialog box:
Click on the OK button and this will bring up the Calendar Format report.
This report will show the selected events in move-in date, event name order. Information that appears on this report includes: event name, time and attendance information in boxes arranged to look like a calendar.
When you click on the Reselect Events icon, the Event Search dialog box will appear. Here you can change the parameters the system should use to select a new grouping of events and when you click on the OK button, the process starts all over again.
