Telephone Administration

Getting There: Accessing this application is done by double clicking on the Telephone Administration icon in the ConCentRICs main menu.



Purpose: Telephone Administration is used to produce telephone bills quickly and easily from the data provided by your telephone service provider. This application will handle the data collections from the telephone switch or service provider. It will reformat the data, calculate a charge for the call and add it to the ConCentRICs database. Each call will be posted to the database as soon as it is received. This allows you to produce telephone bills for calls that were just made. As soon as a client turns in a phone, you can give them the bill for all phone calls. No more delayed billing. The focus of this application is to produce an instant phone bill. Tools are provided that will allow you to predefine phone lines, who they belong to and what extra charges will be applied to each line.

Telephone Administration Modules Overview



Customer Phone Bills is used to generate the individual bills for each phone that was used during an event. This option would be run at the end of an event.
Security Level: To view and generate a phone bill - Read Only. To add or make changes - Normal. To delete an item from the bill- Manager.

Double clicking on the Customer Phone Bills icon will bring up the Customer Phone Bills dialog box.



This dialog box is used to generate the summary list and subsequent phone bills. The following is a break down of the dialog box:

  • The Event field is used to enter an Event Id number.
  • The Event Search buttton is locate an event.
  • Once an Event Id is selected, then the name of the event appears on the dialog box under the Event field.

  • The Start Date and End Date fields are used to indicate a period of time to search for phone calls.
  • The Extensions field is used to control which extensions will be displayed. NOTE: If you leave this field blank, then all of the defined extersions will be selected.
  • The Allow changes to Customer's Name check box, if checked, is used to change the name of the customer assigned to extension(s) identified.
  • The Eliminate entries with zero amounts check box, if checked, eliminates zero charge entries on the phone bill. NOTE: If you want to see every call activity at extension(s) identified then do not check this box.
  • The Show location of phone number called check box, if checked, will look up at least the city and state for the phone number called. It is recommended that you normally check this box.
  • The Show the Incompleted Phone Calls check box, if checked, will show any incompleted call. It is recommended that you normally do not check this box.
  • Click on the button and Cutomer Phone Bills report will appear on the screen.

    This is just a selection list from which you can choose the phone bills to produce.





    Telephone Reports is used to produce phone bills with a wide range of options. This option is typically used to produce phone bills for internal phones or could also be used to produce all phone bills for an event at one time. It can also be used to analyze phone bills over a period of time.
    Security Level: To view and generate a phone bill - Read Only. To add or make changes - Normal. To delete an item from the bill- Manager.

    Double clicking on the Telephone Reports icon will bring up the Telephone Reports dialog box.



    The following is a break down of the dialog box:

  • The Extension Numbers option is used to generate phone bills based on the actual telephone number extension.
  • The Account Numbers option is used to generate phone bills based on an internal number assigned by the telephone switch.
  • The Start Date and End Date fields are used to indicate a period of time to search for phone calls.
  • The Extensions field is used to control which extensions will be displayed. NOTE: If you leave this field blank, then all of the defined extersions will be selected.
  • The Service Carrier combo box will only be active if your telephone switch supports multiple service providers.
  • The Organization combo box contains all defined organizations.
  • The Break by Department check box, if checked, will sort all extensions by department. This option is usually used for internal phone bills.
  • The Department Selection button is used to select one or more departments to produce phone bills for.
  • The Eliminate entries with zero amounts check box, if checked, eliminates zero charge entries on the phone bill. NOTE: If you want to see every call activity at extension(s) identified then do not check this box.
  • The Show location of phone number called check box, if checked, will look up at least the city and state for the phone number called. It is recommended that you normally check this box.
  • The Place each Extension (or Account) on it's own page check box, if checked, will start each extension or account number on a new page. If unchecked, then the bill for the next extension or account, will start immediately after the previous bill until all the bills have been issued.
  • The Show the Long Distance Phone Calls check box, if checked, will show long distance calls on the bill. If unchecked, they will be excluded from the bill.
  • The Show the Local Phone Calls check box, if checked, will shoe local calls on the bill. If unchecked, they will be excluded from the bill.
  • The Show the Incompleted Phone Calls check box, if checked, will show any incompleted call. It is recommended that you normally do not check this box.
  • The Show the total section check box, if checked, will show the total taxes and calls made of each type on the bottom of a phone bill. If unchecked, this section will be eliminated.
  • The Show Total Minutes check box, if checked, will show the total number of minutes of all calls on the last line in the total section of the phone bill. If unchecked, they will not be included.
  • Click on the button and the report selected will appear on the screen.

    Phone Data List is used to view the individual call transactions in the database. You can look at call transactions for any period of time showing them in chronological order.
    Security Level: To view and generate a phone bill - Read Only. To add or make changes - Normal. To delete an item from the bill- Manager.

    Double clicking on the Phone Data List icon will bring up the Phone Data List dialog box.



    The following is a break down of the dialog box:

  • The Start Date and End Date fields are used to indicate a period of time to search for phone calls.
  • The Start Time and End Time fields are used to indicate time periods within the date range to search for phone calls.
  • The Extensions field is used to control which extensions will be displayed. NOTE: If you leave this field blank, then all of the defined extersions will be selected.
  • The Digits Dialed field is optional. This is used to see just the calls made to a particular area code and exchange or a particular phone number.
  • Click on the button and the Phone Data List report will appear on the screen.

    Telephone Usage is used to analyze call activity over a period of time. The reports won’t show individual calls but looks at phone calls overall and provides a summary about those calls.
    Security Level: To view - Read Only. To add or make changes - Normal. To delete a call transaction - Manager.

    Double clicking on the Telephone Usage icon will bring up the Telephone Usage dialog box.



    The following is a break down of the dialog box:

  • The Days Extension was Used option is used to generate a report that will see the pattern of how each telephone extension is used.
  • The Number of times Extension was Used option will analyze the volume of calls made by each telephone extension.
  • The Number of times Trunk was Used option will analyze the volume of calls serviced by each trunk line.
  • The Start Date and End Date fields are used to indicate a period of time to search for phone calls.
  • The Extensions field is used to control which extensions will be displayed. NOTE: If you leave this field blank, then all of the defined extersions will be selected.
  • Click on the button and the report selected will appear on the screen.





    Telephone Numbers is used to handle all aspects of assigning telephone extensions to your customers. This option allows you to assign and track the temporary assignment of phone numbers for specific periods of time.
    Security Level: To view - Read Only. To make telephone number assignments - Normal.

    Double clicking on the Telephone Numbers icon will bring up the Telephone Numbers dialog box.



    The following is a break down of the dialog box:

  • The Telephone Directory option will produce a phone book listing for a period of time or for a specific event.
  • The Phone Number Assignments option will list each assignment to each extension.
  • The Assign Event Phone Numbers option is used to automate the process to assign phone numbers to event exhibitors.
  • The Start Date and End Date fields are used to indicate a period of time to search for phone calls.
  • The Event field is used to enter an Event Id number.
  • The Event Search buttton is locate an event.
  • Once an Event Id is selected, then the name of the event appears on the dialog box under the Event field.

  • The Extensions field is used to control which extensions will be displayed. NOTE: If you leave this field blank, then all of the defined extersions will be selected.
  • Click on the button and the report selected will appear on the screen.





    Telephone Control is used to set parameters that will determine how Telephone Administration will function in your facility. It also provides the utility functions that help you service telephone administration and keep it updated with the latest rates, area codes, and exchange settings.
    Security Level: To Security Level: To access and use - Manager.

    Double clicking on the Telephone Control icon will bring up the Telephone Control dialog box.



    The following is a break down of the dialog box:

  • The Minimum Seconds field is used to set the minimum number of seconds for which the system will not charge for calls. NOTE: The normal setting is 45 seconds.
  • The Local Area Code field is the telephone area code for a facility.
  • The E-Mail Notifications combo box will be operational only if you are using the ConCentRICs E-Mail system. It will list all Distribution Lists available in the E-Mail system.
  • The Verify Phone Connection button is used to make sure that data is still being collected from the telephone switch.
  • The Upload New Phone Rates button is used to take a file from the subscription service and update the database with a new set of rates.
  • The New Location Descriptions button is used to update your location database with the latest revisions from the update file.
  • The Mass Change Extensions button is used to define an extension template and then apply that template on any number of extensions.
  • The Settlement Category button is used to post charges for telephone extensions directly to an Event Settlement.
  • The Delete Phone Data button is used to delete old call transactions that are no longer needed.
  • The Phone Switch Data Format button is used to select the telephone switch you are using from a list, or to define a new format.
  • The Find Undefined Extensions button is used to search call transactions for any extension that is not defined.
  • The Recalculate Phone Rates button is used to recalculate the rate to be charged for each call.
  • The Master Description Updates button is normally used by RIC Corp. to create a New Description Update File.
  • The Mass Change Rates button is used to mass update rates for a group of area codes or a group of exchanges within an area code.
  • The Utility Service Order Links button is available only if you are using the ConCentRICs Exhibitor Work Order application. It is used to indicate which Utility Service Order items are telephone service requests.
  • The Delete Old Assignments button is used to delete any old telephone number assignments that are no longer needed.
  • The Remote Collection Setup button is used to setup a PC with the required software to collect data independently from the network.
  • The Phone Number Inquiry button is used to look up any Area Code and Exchange to see where it is located.
