Checklists and Followups

Getting There: Accessing this application is done by double clicking on the Checklists/Followups icon in the ConCentRICs main menu.



Purpose: Checklists/Follow Ups uses information from the scheduling portion of the system and provides the user with reports on those items they wish to be reminded to do by a particular date. Most checklist items are generated at the time an event is booked based on the criteria you used to setup Master Checklist Items. The date an item should be completed is automatically calculated by the computer based again on the Master Checklist Items and the parameters of the event. This application provides reports on both completed and incomplete checklist items.

Checklists/Follow Ups Modules Overview



Open Event Inquiries is used to provide a list of those events with a booking status with no commitment level. This report will list the selected events in move-in date order.
Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

Double clicking on the Open Event Inquiries icon will bring up the Report Selection by Event Move-In/Out dialog box.





You must enter a beginning and ending date in the dialog box. The sytem will find all events with any booked date(s) in the range specified.

Click on the button and the Custom Report Title screen will appear confirming that you want the Open Event Inquiries report.




Click on the button and the Open Event Inquiries report will appear on the screen.

The report will show the Event ID, initial contact date, first move-in date of the event, sales manager, and the long event name.

















Critical Checklist Items is used to to view the incomplete checklist items you consider critical for the events selected.
Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

Double clicking on the Critical Checklist Items icon will bring up the Report Selection by Event Move-In/Out dialog box.

Click on the button and the Critical Checklist Items report will appear on the screen.

The report will show the events first move-in date and day of the week for that move-in date, the Event ID, long event name, and each outstanding critical checklist item with the date it should be completed.





Food Scheduling Report is used to provide your catering department with a report of upcoming requested food services. This report will show the selected events in food service date, then time order.
Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

Double clicking on the Food Scheduling Report icon will bring up the Report Selection by Event Move-In/Out dialog box.





You must enter a beginning and ending date in the dialog box. The sytem will find all events with any booked date(s) in the range specified.

Click on the button and the Custom Report Title screen will appear confirming that you want the Food Scheduling Report.




Click on the button and the Food Scheduling Report will appear on the screen.

The report will show the food service date and time, Event ID, start event time, long event name, estimated event attendance, company or contact name of main contact, start food service time, food service name, and estimated attendance for a food service.























Checklist Items is used to provide users with a variety of ways to view outstanding checklist items. This report will show selected incomplete checklist items in follow up date order.
Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

Double clicking on the Checklist Items icon will bring up the Check List Selection By Date dialog box.


You must enter a starting and ending date to run the report on. The sytem will find all incomplete checklist items with a followup date in the range specified.

The following is a break down of the dialog box:

  • The Without Person Assignment option will run the report without any personnel indicated.
  • The With Person Assigned option will show the person the checklist item is assigned to.
  • The With Sales Person Assigned option will will show the sales person for the event.
  • The With Event Coordinator option will run only those incomplete checklist items for events that have an event coordinator assigned.
  • The Person Name: field will initially show "All People". If you don't select an individual person, then all incomplete check list items will be displayed.
  • The Change Person button allows you to select an individual person from a name and address search window.
  • Click on the button and the Custom Report Title screen will appear confirming that you want the Checklist Items report.




    Click on the button and the Checklist Items report will appear on the screen.

    The report will show the follow up date, checklist item name, Event ID, event move-in date, event name, and depending on the options you choose, the event coordinator, sales person, or person checklist item is assigned to may also be shown.





    Checklist Items by Move-in is used to provide users with a variety of ways to view both completed and incomplete checklist items for events within a date range. This report will show either complete or incomplete checklist items for events with master dates in between the designated start and end dates.
    Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

    Double clicking on the Checklist Items by Move-in icon will bring up the Checklists by Move-in Date Selection dialog box.





    You must enter a starting and ending date to run the report on. The sytem will find all checklist items for events with overall master dates in the date range specified.

    The following is a break down of the dialog box:

  • The Completed Checklists checkbox, if checked, is used to show only completed checklist items for the event selected on the report . If unchecked, it will show only incomplete checklist items on this report.
  • The Choose and Selected list boxes are used to report on selected checklist items only. If you don't choose any checklist items, then any and all that meet the other criteria in the dialog box will be on the report.
  • The Event Sort option is used to sort events.
  • The Checklist Sort is used to sort checklist items within an event.
  • Click on the button and the Custom Report Title screen will appear confirming that you want the Checklist Items by Move-in Date report.




    Click on the button and the Checklist Items by Move-in Date report will appear on the screen.

    The report will show the event move-in date, Event ID, short event name, either the checklist follow-up or completed date, checklist name, and either the person designated to follow-up on the item, or the person who completed the follow-up item.

















    Outstanding Items List is used to provide users with a way to view incomplete checklist items, locations with booking commitments of inquiry, tentative, or soft cancel, and locations with multiple bookings in one day. This report will show incomplete checklist items and locations with commitment levels of soft cancel, inquiry, and tentative for events with master dates in between the designated start and end dates. Multiple bookings of a location on any one day can also be displayed.

    Double clicking on the Outstanding Items List icon will bring up the Outstanding Items by Date Maintenance dialog box.




    You must enter a starting and ending date to run the report on. The sytem will find all checklist items for events with overall master dates in the date range specified.

    The Show Double Bookings checkbox is used to show any locations which are booked more than once on the same day, to be included in the report.

    Click on the button and the Custom Report Title screen will appear confirming that you want the Outstanding Items List report.




    Click on the button and the Outstanding Items List report will appear on the screen.

    The report will show the event move-in date or date of location booking for booking status commitment or multiple booking designation, Event ID, sales manager’s name, and either the checklist item description, booking status commitment, or multiple booking description, and short event name.




















    Double Book Potential Conflicts is used to provide users with a way to view locations with multiple bookings in one day. This report will show each date between the start and end date entered which has double bookings based on the criteria entered in the dialog box.
    Security Level: To view - Read Only. To change existing values - Normal. To delete values - Manager. To add - System.

    Double clicking on the Double Book Potential Conflicts icon will bring up the Double Book Potential Conflicts Selection dialog box.


    You must enter a starting and ending date to run the report on.

    The following is a break down of the dialog box:

  • The Show Location Times check box is checked when you want the move-in and move-out times for each location to be displayed on the report.
  • The Double Book based on times check box is checked when you only want to see location bookings with overlapping times on the report .
  • The All Double Bookings option will show all double bookings.
  • The Double Bookings by Event Manager option will show only those double bookings with a selected event manager assigned.
  • The Double Bookings by Sales Person option will show only those double bookings with a selected sales person assigned.
  • The Double Bookings in Date Range option will show only those double bookings caused by adding or changing a location on a date in the range entered.
  • The Select Person button is used to select the person to base the report on.
  • The Date/Event ID option is used if you want to sort the report information by Date/Event ID.
  • The Date/Location option is used if you want to sort the report information by Date/Location.

  • By default, all locations in a facility are used to produce the report. If you don't choose any rooms here, all rooms with a double booking will be on the report.
  • The Choose and Selected list boxes are used to select specific locations to run the report on.
  • Click on the button and the Custom Report Title screen will appear confirming that you want the Double Book Potential Conflicts report.




    Click on the button and the Double Book Potential Conflicts report will appear on the screen.

    The report will show the date, Event ID, booking status code, room id code, order in which it was booked, short event name, initial contact date, and sales person.
