Getting There: Accessing this application is done by double clicking on the System Administration icon in the ConCentRICs main menu.
Purpose: System Administration is the foundation for the ConCentRICs system. Simply stated, it’s primary use is to setup the system. Only key individuals should have access to this module. This area of the system controls the users, and ConCentRICs applications they have access to, along with the location of data files throughout the network. This application also allows you to define the work stations to the system, set basic system information, control automated batch processes and control license keys that allow access to ConCentRICs applications.
HINT: You can position your mouse pointer over any of the icons below to see a text-only introduction on that application.
System Log is used to view the user’s activity while in the ConCentRICs system. Each activity performed, such as; date and time of activity, the user, the application, and organization and location is recorded in the System Log. Security Level: To view - Read Only. To activate the Delete feature - System or higher.
Double clicking on the System Log icon will bring up the System Log Selection dialog box.
To keep the report at a more manageable level, it is recommended that you narrow down the selection to just the specific information you are looking for. When finished, click on the button and the System Log report will appear on the screen.
The report will show the System Log entries that match the selection criteria specified. It will show the date, time, user name, activity, system number, organization number and work station that performed the activity.
Double clicking on any entry will bring up the System Log Inquiry dialog box.
This box will expand on the selected System Log entry and displays the value of each number in the actual log entry.
All fields are inactive and grayed out as you are not allowed to make any manual changes to any of the fields.
Double clicking on the System Application icon will bring up the System Application dialog box.
The combo box at the top controls which applications will appear on the report. Normally, you would want to just use the default setting of All Applications. Click on the button and the System Application report will appear.
The report will list each of the applications available in the system and will show the application number, application code, date of last update, and the application name.
If you double click on any of the applications on the report, the Application Export dialog box will appear.
The purpose of Application Export is to create a file of information from your system that can then be transmitted, e-mailed, or othewise sent to another ConCentRICs system.
For instance, if you were having trouble creating a form or report, you could send it to RIC Corp who will check it out, make the necessary modifications, and send it back to you.
Double clicking on the Department icon will bring up the Departments dialog box.
This dialog box will control how the departments will be displayed. Click on the button and the Departments report will appear.
The report will show a list of the facility's departments which will be listed in alphabetical order. It will show the department code, description, short description, and color associated with each department.
If authorized to perform maintenance, double click on any line to bring up the Departments Maintenance dialog box.
Here you can make any necessary changes to applicable fields.
Double clicking on the Holidays icon will bring up the Holidays report.
The report will show a list of holidays currently identified to the system. It shows the date of the holiday, the name of the holiday, and a type flag. A flag is a one character code to represent the type of holiday and is defined the facility. If authorized to perform maintenance, double click on any line to bring up the Holidays Maintenance dialog box.
Double clicking on the System Users icon will bring up the System Users report.
This report will show a list of the people identified as users of the ConCentRICs system. It will show the user's name, login id, code (internal reference number), and file key (name and address key to represent user). The rest of the columns will show the number of times the user has logged on to the system, the date and time of their last login, and their password. (You must have a security level of System or higher to see passwords.)
If authorized to perform maintenance, double click on any line to bring up the System User's Maintenance dialog box.
The following is a breakdown of the dialog box:
The button is used to add or update a user's name information. Clicking on this button will bring up the following screen.
The user's name and Id are linked. You can change the person's name without changing anything else about the user. For example, when a user gets married and changes her name.
The button is used to view additional information on the person if they are a vendor.
Each name only occurs in the system one time. A person may be several different things to a facility. The button lets you specify what this person represents to the facility.
The button is used to add any free form comments you would like to include for a name.
The button is used to delete a user's Id. When you click on this button, the user's security records will be deleted and it will free up the license keys for reuse.
Normally, all names in the database are available to all inquiries or searches. However, there may be times when you want to restrict access to a particular name. Clicking in the No Inquiry check box will keep the name from appearing on any inquiry.
Double clicking on the User World icon will bring up the User World report.
The report will display a list of the people identified as users in the ConCentRICs system.
If authorized to perform maintenance, double click on an entry and the following screen will appear.
The data displayed here comes from the system's Name and Address file. This links the users to entries in the Name and Address file. This maintenance dialog box is almost identical to the System User Maintenance dialog box.
The main difference being that you can't add a user here. That action can only be done in the System User module.
Double clicking on the Security List icon will bring up the Security List dialog box.
Using this dialog box you can view security from three different aspects. Depending on which report you want just click on the applicable report button. You can only select one at a time.
The and options will activate the check box at the bottom of the dialog box. If this box is unchecked, then it will show each entry and the security level that applies to that entry. If the box is checked, then any entries with No Access will not show on the report.
The small x button will recalculate the license keys in use based on the actual license keys issued.
NOTE: This option should only be used when directed by RIC Corp.
With the checked, click on the button. This brings up the report on all users with security.
This selection will list all the users with security. It shows the user's name, department and organization(s) they have access to.
If authorized to perform maintenance, double click on any line to bring up the Security List maintenance dialog box.
With the option selected, you will be able to review the security level of all users for a selected ConCentRICs application.
In this example, System Administration is highlighted. Click on the button.
This brings up the report on all users that have access to that application and which security level they hold for it.
With the option selected, you will be able to review the security level of a user in all ConCentRICs applications.
Click on a user to select him. Click on the button.
This brings up a report on the selected user's security levels for all ConCentRICs applications for the organization that is active.
With the option selected, you will be able to review the users that have a specific security level.
Click on a security level to select it.
In this example, Development is highlighted. Click on the button.
This brings up a report that shows all users that have that specific security level.
This report will show each user that has a security level of Development along with the organization(s) they have it in, and all ConcentRICs applications it is assigned to.
Double clicking on the Work Stations icon will bring up the Work Stations - Sort dialog box.
Here you can choose how you want the Work Stations report to look.
If you go with the default (Work Station Location) option, click on the button and the Work Stations report will be displayed as shown.
This report shows a list of the work stations currently identified to the ConCentRICs system.
It shows the work station number, the work station location, the number of logins on any user using that work station, the last log on date for that work station, the last time a user logged into the system and if the work station is currently active on the system, it shows the name of the user logged in.
If authorized to perform maintenance, double click on an entry and the following Work Station Maintenance dialog box will appear.
Here you can make any necessary changes.
Double clicking on the System Profile icon will bring up the System Profile report.
If authorized to perform maintenance, double click on any entry and the following System Profile Maintenance dialog box will appear.
This dialog box allows you to change any of the parameters used by the system.
Double clicking on the System Agent icon will bring up the System Agent control dialog box.
This list box will show all ConCentRICs applications that are "SAGE Aware" or are applications that can run with Task Scheduler or System Agent.
The following is a breakdown of the list box:
Double clicking on the System Orgs icon will bring up the System Organizations report.
The report will show a list of the organizations identified to ConCentRICs.
It will show the organization number (an internally assigned number) and the name of the facility. Double clicking on an organization will bring up the System Organizations Maintenance dialog box.
If authorized to perform maintenance, you can make any necessary modifications here.
Double clicking on the Calendar Years icon will bring up the Calendar Years report.
The report shows a list of Calendar Years identified to the ConCentRICs system for the active organization.
Each organization has it's own set of years. All event processes use the Calendar Years files.
Double clicking on an entry will bring up the Calendar Years Maintenance dialog box.
Double clicking on the System Pathnames icon will bring up the System Pathnames report type selection dialog box.
In this dialog box you can select how you want the report displayed. Normally, the default System Level Files Only is used.
Click on the button and the report will be displayed as shown.
The report will show the different types of file required by ConCentRICs. The first line shows the file type number and description. The second line shows the directory pathname name for the data files of that type.
Double clicking on an entry will bring up the System Pathnames Maintenance dialog box.
Double clicking on the License Keys icon will bring up the License Keys report.
The following is a breakdown of the report:
Double clicking on an entry will bring up the License Keys Maintenance dialog box.
Clicking on the button brings up the following report.
This report shows you a list of people that have a license key for this application in any organization. Double clicking on any line in this report will allow you to perform maintenance if you are authorized.
