Calendar Inquiry

Getting There: Accessing this application is done by double clicking on the Calendar Inquiry icon in the Scheduling Administration main menu.

Purpose:Used to view event information by date and space booked. Can also be used to book an event.
Security Level: To view - Read Only. To perform maintenance - Normal.
NOTE: A user will not be able to assign or change a booking status code with a higher security level than their own.




Calendar Inquiry is used to look at the locations that are booked for any range of dates. You can also select any of the events listed in order to look at the Event Snap Shot, Event Profile, Event Audit and if you have a high enough security level, you can also perform Event Maintenance. When you double click on the Calendar Inquiry icon in Scheduling Administration it brings up the Calendar Inquiry dialog box.

Here you can specify the search criteria. Dates are the primary search criteria. Enter a Start Date and End Date and it will search all locations within your date range. If you check in the Use Events Dates Only box, then only locations that are actual event dates will be searched.

There is an optional Select Locations button, which if not used, will result in all booked locations being displayed. If you only wanted to see particular locations, then click on the Select Locations button and double click on the location(s) to move them over into the Selected box and click on the OK button.

Whether you clicked on the OK button on the Calendar Inquiry dialog box, or on the Select Locations dialog box, it will result in the Calendar Inquiry Report being displayed (see screens below). For illustration purposes, this report is split between two screens.The first screen shows the individual location in the Room column. If the Room and Booked are the same location then the Booked column will be blank. BS shows the booking status code of that location. ST shows the seating style used in that location. Attend shows the number of people that will be in that location.

The Beg Time shows the first time the room is needed for the event and End Time shows the last time it will be needed. The Event ID is shown in the Event column (an * represents an Event Day). The Event Name column will show either the full Event Name, short Event Name of the alternate book name of that event, which is determined through selections on the Calendar Event dialog box.

You can also book an event in Calendar Inquiry.
