Calendar Search

Getting There: Accessing this application is done by double clicking on the CalendarSearch icon in the Scheduling Administration main menu.

Purpose: Finds a best fit for a new event. Can also be used to book an event.
Security Level: To view - Read Only.
NOTE: If the user's security level is lower than the security level on all the booking status codes, then the user will not be able to add an event.


When you double click on the CalendarSearch icon in Scheduling Administration, it brings up the Calendar Search/Best Fit dialog box. Calendar Search, once given certain criteria for a search, will find the "best fit" for a new event. This option allows you to enter the location and date specifications and then it will search The Book and report back on the status of each of the possible date blocks in the Calendar Search/Best Fit dialog box. You can then select a date block and book an event.

This box controls all aspects of the search process. Here's a quick rundown on each of the controls:

Location Selection   

This button is used to define the location specifications that will be used in the search process.

When you click on the Location Selection button the following dialog box will appear.

Date Selection  

This button is used to define the date specifications that will be used in the search process.

When you click on the Date Selection button the following dialog box will appear.

Show the Conflicts  

This button is used to show any conflicts on selected dates.

When you click on the Show the Conflicts button the following dialog box will appear.

Location List  

This button is used to list the actual rooms involved in the best fit process.

When you click on the Location List button the following dialog box will appear.

Here's a quick rundown on each of the Calendar Search Display radio button options:  

Show dates that would be appropriate
This radio button will calculate the dates that would be appropriate based on the Date Selection criteria.

Show dates with no conflicts
This radio button will allow only dates that would allow the event to be booked without interfering with any other event to be displayed.

Show dates with minor conflicts
This radio button will show dates that cause a minor conflict. A minor conflict is any event that is booked but does not have a Booking Status commitment level of Definite.

Show dates with any conflicts
This radio button will show The Book results for each and every possible date, making note of those that have minor or major conflicts.

When you've settled on the dates you want for a new event, double click on the date range.
