Scheduling Control

Getting There: Accessing this application is done by double clicking on the Scheduling Control icon in the Scheduling Administration main menu.

Purpose: Used to set parameters to specify how scheduling will appear and operate for you.
Security Level: To view - Read Only. To change entire facility settings - Manager.


Scheduling Control allows you set the parameters that specify how scheduling will appear and operate for you and/or the facility. You will be able to control such things as how the Event Profile will appear, what default times are used, and which locations are valid. You only use this option to change parameters. It does not produce any reports.

When you double click on the Scheduling Control icon in Scheduling Administration, the Scheduling Control dialog box comes up.

This will allow you to specify which control you want to review or change.This tutorial will brieflly cover only the Personal Preferences area of this dialog box. In this area, a user can control their Default Times to use in bookings, Booking Default codes to use when booking new events, and which sections of the Event Profile should be displayed. If the user will be producing contracts, then they can automate those processes with the Automated Contract function.

When you click on Default Times, the following dialog box will appear.

These are the times that will be used when you first book an event. You should set these times to the times that you use most often for your bookings as these will be saved just for you. You can change these without affecting default times for anyone else.




When you click on Booking Defaults, the following dialog box will appear.







The * Booking Status Code and * Rate Code are mandatory items that must be assigned a value or you won't be able to add any new events. These values are your personal defaults that will appear each time you log in and enter a new event. No one else can change your settings.




When you click on Event Profile, the following dialog box will appear.







This dialog box list each of the sections of an Event Profile. Any section that is checked will be displayed.




Before using Automated Contract for the first time, you must first setup External Connections for the Contract process.

This is done in the Utilities area in the Event Maintenance dialog box.

Click on the Produce Contract button and the following dialog box will appear.

Follow the directions there to manually produce the files the first time, create the mail merge in word processing, and connect it to ConCentRICs using a macro.

When you click on Automated Contract the following dialog box will appear.

If you have any External Connections currently established, the list box will display them and you can automate any of the contract processes. If the process is automated, the word "OK" will appear on the right in the list box. If it's not automated, the words, "Not Assigned" will appear.
